The Accounts Receivable Specialist will manage the full-cycle AR process, including invoicing, payment application, client communication, and collections. This role is ideal for someone who is proactive, organized, and comfortable working in a deadline-driven media environment.
Key Responsibilities
- Generate, review, and send invoices for media buys, campaigns, production services, and digital advertising.
- Monitor and reconcile customer accounts to ensure accurate billing and timely payments.
- Process incoming payments (ACH, wire, credit card, check) and apply them accurately in the accounting system.
- Perform weekly and monthly AR aging reviews, follow up on past-due accounts, and escalate issues when needed.
- Collaborate with sales, production, and media planning teams to resolve billing discrepancies.
- Maintain documentation for billing adjustments, credits, and client approvals.
- Help prepare month-end close schedules related to AR and revenue.
- Assist with audits by providing supporting documentation and analysis.
- Support continuous process improvement within the AR function.
Qualifications
Required
- 2-5 years of accounts receivable experience; media, advertising, or entertainment industry strongly preferred.
- Strong understanding of AR concepts including aging, collections, and revenue cycles.
- Proficiency with accounting/ERP systems (NetSuite, SAP, QuickBooks, or similar).
- Intermediate Excel skills (PivotTables, VLOOKUP).
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to prioritize in a fast-paced environment.
